Service description
QayyimAI (قَيِّم) is a business-management platform for small and medium businesses, covering point-of-sale, inventory, customers and debts, purchases and suppliers, expenses, invoicing/quotes, HR/payroll, reporting, and an optional AI assistant. QayyimAI Web is a browser-based application; QayyimAI Desktop is a separate, locally-installed application; an optional Print Agent helps print receipts locally.
Account eligibility & business use
QayyimAI accounts are created for business use. There is no public self-registration — every user account is created by an already-authorized person on your team (an owner or manager) or, for a new business's very first account, by QayyimAI directly as part of onboarding. By using an account created for you, you agree to these Terms.
Account & security responsibility
You are responsible for keeping your phone number and PIN confidential and for all activity that occurs under your account. Notify your business's owner or QayyimAI promptly if you believe your account has been compromised. QayyimAI enforces PIN-lockout protection after repeated failed attempts, but cannot prevent misuse of a knowingly shared credential.
User roles and admin responsibility
QayyimAI uses role-based permissions (Owner, Manager, Cashier, Employee, and similar). Your business's owner(s) are responsible for assigning appropriate roles, deactivating departed employees' accounts, and configuring any business-specific policies the app exposes (such as POS discount limits). QayyimAI enforces the permission boundaries the app defines but does not audit whether your business assigns roles appropriately.
Acceptable use
You agree not to: use QayyimAI for any unlawful purpose, including fraud, tax evasion, or money laundering; attempt to bypass authentication, rate limits, or permission checks; attempt to access another business's data; interfere with the service's normal operation; or use the AI assistant to attempt to extract system prompts, other tenants' data, or to generate fraudulent documents. Accounts found in violation may be suspended.
Subscription & billing
During the pilot phase, plans and billing are arranged directly between your business and QayyimAI rather than through an automated, self-service payment system — QayyimAI does not currently integrate a payment processor. A trial period, where offered, is display-only in the app (a reminder banner) and does not automatically restrict access or automatically charge anything when it ends; continued use is arranged by contacting QayyimAI. These Terms will be updated if/when automated billing is introduced.
Desktop application and Print Agent
QayyimAI Desktop is separate software you install on your own device; it is not a web page. It stores a local copy of relevant business data on that device to support offline use and synchronizes with the cloud service when connected. You are responsible for the physical and digital security of devices running QayyimAI Desktop.
The optional Print Agent is local helper software that pairs with your browser to print receipts to a physically connected printer. Print jobs are handled locally between your browser and the Print Agent; QayyimAI does not guarantee that every print job completes successfully in every case (for example, if the connection or printer is interrupted), and does not claim universal compatibility with every printer model — only with printer profiles that have been verified to work.
Offline behavior
QayyimAI Web requires an internet connection for normal business operations; it does not queue offline transactions or work without connectivity. QayyimAI Desktop is the local-first product, designed to keep working locally without a constant connection and to synchronize changes once connectivity returns; where a synchronization conflict occurs (for example, the same record changed on two devices), the system resolves it according to its documented conflict rules or flags it for review. We do not claim perfectly seamless, gap-free parity between offline Desktop use and fully connected use in every scenario.
Backup and export responsibility
QayyimAI does not currently guarantee an automated, continuous application-level backup of your business data as a service commitment. You are encouraged to use the in-app export tools (CSV exports of sales, purchases, expenses, invoices, and customer debts) periodically for your own records, particularly before any major change to your account or plan.
AI feature limitations
The optional AI assistant can be incorrect, incomplete, or based on data that has since changed. It is not legal, tax, accounting, medical, or investment advice, and does not replace your own judgment or a qualified professional's advice for important decisions. Every change the AI proposes is a draft that requires a human with the appropriate permission to review and approve before it takes effect — the AI cannot silently execute a business change on its own. Third-party services
QayyimAI relies on third-party infrastructure and, for optional features, third-party service providers (see the Privacy Policy's third-party section for the current, accurate list). We are not responsible for outages or issues originating from those providers' own systems, though we will make reasonable efforts to keep the service running through them.
Service changes & availability
QayyimAI may add, change, or remove features over time, and may perform maintenance that temporarily affects availability. We do not promise 100% uptime or guarantee the service will always be available without interruption.
Data ownership
The business data you enter into QayyimAI belongs to your business. QayyimAI does not claim ownership of your business records; we process them to provide the service, as described in the Privacy Policy.
Intellectual property
The QayyimAI application, its design, and its underlying software are the property of QayyimAI/its operator and are protected by applicable intellectual property law. These Terms do not grant you any right to the software itself beyond using it as intended for your business.
Termination & suspension
QayyimAI may suspend or restrict access to an account that violates these Terms, poses a security risk, or where billing arrangements are not honored, after reasonable notice where practical. You may stop using the service at any time; see the data-request workflow for how to request account closure or data handling on exit.
Limitation of liability
To the extent permitted by applicable law, QayyimAI is provided "as is" and "as available," without warranties of any kind beyond what is expressly stated in these Terms, and QayyimAI's liability for any claim relating to the service is limited as far as legally permitted. This section is drafted conservatively and is one of the items flagged in the legal review checklist for formal review against the actual governing jurisdiction.
Governing law
The specific governing law and dispute-resolution jurisdiction for these Terms had not been formally confirmed as of this document's effective date — see the legal review checklist. This section will be completed once that confirmation is available, rather than asserting an unconfirmed jurisdiction here.
Changes to these Terms
We may update these Terms as the product and business arrangement evolve. The version and effective date at the top of this page reflect the current version.
